ListServ
UIT's Listserv service allows faculty/staff to manage mailing lists. The purpose of this page is to provide some minimal list startup instruction with links for more information.
Request a ListServ
In order to request a listserv, visit https://askus.yorku.ca/portal, choose “IT Forms”, and choose “ListServ”.
Fill in the request form. Note that list names cannot exceed 16 characters.
After a day or two, your list will be created.
Login to Listserv Web Interface
Login here: https://listserv.yorku.ca
If you have not logged in before, you will have to create an account. Your username will be “<ppy>@yorku.ca”.
Useful Operations
Add users to your list:
- Select “List Management”.
- Select “Subscriber Reports”.
- Select the list.
- To add a single subscriber, under “Add Subscriber:” enter an email address and then click “Add Subscriber”. The user will be added to your list.
- To add multiple subscribers at once, click “Bulk Operations” beside “Add Subscriber”, then select “Add the imported addresses to the list”. Click “Browse” and select a text file containing one email address per line, then click “Import”. The users will be imported.
Delete users from your list:
- Select “List Management”.
- Select “Subscriber Reports”.
- Select the list.
- Click the checkbox beside any users you want to delete, then click “Delete Subscribers” button at the bottom.
Add a user to a subscription only list who is able to send messages to the list, but will not receive messages sent to the list:
- Select “List Management”.
- Select “Subscriber Reports”.
- Select the list.
- Select the user.
- Under “Mail Status” column, select “No Mail”.
- Click “Update” button.
Modify the list owners:
- Select “List Configuration”
- Click on “Administrators” button.
- Modify the “Owner” list.
View your list configuration:
- Select “List Management”.
- Select “List Configuration”.
- Some common configuration options:
- Confidential:
- Yes - list is hidden from public searches
- No - list appears in public searches
- Subscription:
- Open: anyone can freely subscribe
- Closed: subscriptions are not allowed (typical for announce only lists)
- By_Owner: only the list owner can approve subscriptions
- By_Editor: editor must approve subscriptions
- Notify - controls who gets notified when someone subscribes or unsubscribes
- Yes: notify both subscriber and list owner
- No: notify no one
- Owner: only notify list owner
- Auto: default
- Review - who is authorized to view list subscribers
- Public: anyone, including non-members
- Private: only current members subscribed to list
- Owner: only the list owners can view the subscriber list
- Local: limits viewing to local users on the same mail server
- Reply To - defines where replies to list emails go
- List: Replies go to the list
- Sender: replies go only to the original sender not the list
- both: replies go to both
- note: settings include a modifier such as:
- respect: keep sender's original reply-to tag if they set one
- ignore: overrides it to ensure replies go where you specify
- Files - determines whether the LISTSERV server accepts or rejects NJE-formatted files sent to the mailing list (legacy option - ignore)
- Send - control who can send messages to the list
- public: anyone can post
- private: only subscribers can post
- editor: only list editors can post
- owners: only list owners can post
- moderated: message go to editor for approval
- Notebook - enables or disable archive logging of messages
- yes - enables archives
- no - no archiving
Frequently Asked Questions
Why don't I receive a copy of my message sent to the list?
By default, users will not receive a copy of their own postings.
Login to the web interface, select the list, click on the subscriber list, click on a user, and you will see many options including:
Acknowledgements:
- No Acknowledgements (default)
- Short Message Confirming Receipt
- Receive Copy of Own Postings
You can change a user from the default option to “Receive Copy of Own Postings” and the user will now receive a copy of their postings.
Users can ALSO send an email to: listserv@yorku.ca with one line that is:
set <list-name> REPRO
They get back an email that the setting has changed and they will now receive a copy of their messages sent to the list.
In the web interface, you can issue a global command as well to set it for everyone on the list:
Choose LISTSERV COMMAND in the sidebar, select the list, then we enter this:
SET <list-name> REPRO FOR *@*
Then it will change it for all users who have been added at once… but it's probably not necessary.
